Microsoft Teams Governance for all areas of the company

Microsoft 365 includes modern tools for internal and external collaboration. The tools can be used widely and are not regulated as standard. This means that functions are available, the use and meaning of which are not always intuitive for the user and can thus endanger data security. Therefore, a collaboration governance based on Helbling’s business and security rules was needed.

Microsoft Teams and SharePoint Governance automation

Helbling came across AskMeWhy’s Seamless in search of a solution for the uniform and automated implementation of Microsoft Teams Governance. One of Helbling’s main goals was to be able to use the Microsoft Collaboration Services’ Microsoft Teams by means of self-service and thus without much additional effort, and at the same time to automatically implement the demanding governance requirements with regard to responsibility, the four-eyes principle, naming conventions, and security. Seamless is a software-as-a-service and therefore requires no installation. Seamless automates collaboration governance and the provision of SharePoint and Microsoft Teams workspaces based on configurable templates.

Sophisticated application and approval mechanism

Employees of the various business units apply for Seamless workspaces for processing offers, projects, specialist topics, and organizational tasks with internal and external members via Seamless Microsoft Teams or SharePoint. When creating an application, depending on the user and the assigned cost center in the ERP system (Abacus), the activity for which a specific workspace can be requested is evaluated. The workspace is then linked to an existing user object from the ERP. Next, it is checked whether a workspace based on Microsoft Teams or SharePoint can be created for this object with internal members, external members, or both. After approval, a workspace is then automatically created using the seamless API based on templates with the corresponding naming convention, access rights, and sharing settings.

Management of Microsoft Team applications
